Invoicing for self-employed people in Switzerland

When you work on your own, invoicing should not take up an evening every month. Here is how to produce a compliant invoice with a QR code quickly, from your first assignment to year-end, without using full accounting software.

What a self-employed invoice should contain

A Swiss invoice fits on one page: your full details, the customer's details, a unique number, the date, a breakdown of services, the total and payment details. If you are VAT-registered, your UID with the VAT designation and the applied rate are also required.

Everything else is about convenience: a clear due date, a reference the customer can find in their accounting system, and a readable payment section that prevents data-entry errors.

Number invoices without mistakes

Numbering should be continuous and without gaps. A format such as I-2026-0001 is enough and remains readable for years. The important thing is never to reuse a number, even after cancellation. Instead, issue a new invoice that replaces the previous one.

Three things make the difference: send the invoice on the day of the service, set a short and explicit due date, and offer payment without re-entering data through the QR section. The customer scans, confirms and pays.

Tracking matters just as much as sending. An invoice marked overdue from the day after its due date lets you follow up at the right time without having to remember.
