Invoicing for IT and web service providers

Fixed-fee development, time-based work, monthly maintenance, hosting and recharged licences: IT businesses often combine very different services for the same customer. A readable invoice separates them instead of blending them together.

Time-based work, fixed fees and maintenance

Time-based work is billed in hours or days with the relevant period. Fixed fees are billed by milestone as set out in the proposal. Maintenance is billed on a recurring basis with the covered month or quarter.

Combining all three types on one line makes the invoice difficult to understand as soon as the customer's internal review begins.

Subscriptions and recurring services

Maintenance or hosting is billed at regular intervals with the period clearly stated. Regular billing also builds confidence because the customer knows what to expect.

Items you purchase on behalf of the customer should appear on separate lines, with the validity period when they relate to a subscription.

Customers outside Switzerland

IT services are often delivered remotely, including to customers established abroad. VAT treatment then depends on the type of service and the location of the recipient.

Check the applicable rule with the Federal Tax Administration before issuing the invoice. Applying the Swiss VAT rate by default to a foreign customer is a common error that can be costly to correct.

Show the quantity, unit, rate and relevant period, optionally grouped by functional work package. A detailed timesheet can be attached separately if the customer requests it.
What VAT applies to a customer based abroad?
It depends on the type of service and the location of the recipient. Resolve the question before issuing the invoice based on the rules published by the Federal Tax Administration.
Do I have to recharge licences at cost?
That is a commercial decision for you. What matters on the invoice is that the line is clearly identifiable and, for subscriptions, that the validity period is shown.
Can I invoice an IT service in euros?
